One project follows the next. Your order books are full and your employees are fully utilised. It is precisely during such phases that overtime frequently accumulates. It’s great if you can give your employees the opportunity to compensate for it. In practice, however, that is not always feasible. In that case, simply pay out your employees’ overtime.

To allow you to handle this clearly and easily, projectfacts provides the overtime payout request.

How does it work?

Approval workflows for vacation requests and travel expense reimbursements already exist in projectfacts. The overtime payout request works according to the same principle.

Your employees can submit an overtime payout request under the “Costs & Reimbursement” tile. The dialog shown will then open.

Your employee then simply needs to specify the number of overtime hours to be paid out. At the end, they submit the request for review. Once the supervisor has approved the request, the employee receives the reimbursement amount. This is based on the hourly rate stored for the employee in projectfacts. That’s all there is to it.

What do you need to do?

In order to use the feature, you will need to make one or two settings in advance. We have listed the most important steps for you here:

  • In the configuration, a new cost type for overtime payout must be created under Finances → Cost Types. This covers the amount to be paid out. If employees have different internal hourly rates that are to be paid out, multiple types for the overtime payout must be created.
  • The overtime payout type to be selected can be stored for each employee. Each employee can only use the type assigned to them. You make this assignment in the HR module for the respective employee.
  • In addition, the employee needs the right to record costs, as well as the Costs & Reimbursements tile. Both settings are made in the respective user group.
