What does projectfacts cost?

projectfacts costs €29 per user per month, net, on a one-year term. Every module is included; there are no editions and no feature gates. On top come hosting from €10 a month and, optionally, a support package. Ten users therefore pay around €3,790 in the first year, or €31.58 per user per month. For your own team size, the price calculator further down does the maths.

A worked example, not a quotation. Every figure comes from the tables on this page and each row shows how it is calculated. The assumptions are: basic hosting for 10 users, standard hosting from 25 users (basic hosting covers up to 20 users), the Base support model for 10 users and Standard from 25 users. All amounts are net.

Not included: rolling the software out itself. That is billed by effort, at the hourly rates of the chosen support model (Base €150, Standard €120, Premium €100 per hour). How much effort is needed depends on your processes. We estimate it in the initial consultation.

The jump between 10 and 25 users does not come from the licence but from hosting: basic hosting covers up to 20 users, above that standard hosting with a dedicated server applies.

What these amounts already contain: project management, time recording, quotations and invoices, CRM, ticket system and HR. Anyone covering the same ground with separate tools pays for a licence per tool and maintains a data set per tool.

What does the modular structure mean for the price?
projectfacts consists of modules for project management, time recording, CRM, invoicing, ticket system, personnel administration and collaboration. Unlike with many providers you do not pay for these separately: every module is included in the price of €29 per user per month. You only decide which modules you actually use and how the menus look for your user groups, not which ones you can afford.
What does projectfacts cost for 10 users in the first year?
Around €3,790 net. That is €3,480 for licences (10 users × €29 × 12 months), €120 for basic hosting for the year and a one-time set-up fee of €190 for the hosting. That works out at €31.58 per user per month. From the second year the set-up fee no longer applies, so it comes to €3,600 or €30.00 per user per month. Rolling out the software itself is billed by effort.
What does projectfacts cost for 25 or 50 users?
For 25 users around €11,640 net in the first year (€38.80 per user per month), for 50 users around €20,340 (€33.90 per user per month). This covers licences, standard hosting, the Standard support package and the one-time set-up fee. Standard hosting applies from 21 users, because basic hosting covers up to 20 users. Are all modules really included in the price?
Yes. For €29 per user per month you get time recording, project management, finances, CRM, ticket system, HR, team organisation, task management, wiki and communication, as well as interfaces and API. There are no editions and no functions that only unlock in a more expensive tier. If you only need part of it, you can also book individual modules. What do set-up and roll-out cost?
There is a one-time set-up fee for the hosting: €190 for basic hosting, €750 for standard hosting. Rolling out the software itself is billed by effort, at the hourly rates of the chosen support model (Base €150, Standard €120, Premium €100 per hour). How much effort is needed depends on how many processes you map and which data is migrated. We estimate that in the initial consultation.
What does hosting cost and where is my data held?
Basic hosting starts at €10 a month: €120 per year for up to 10 users (5 GB included), €180 per year for up to 20 users (10 GB included), plus a one-time set-up fee of €190. Standard hosting starts at €100 a month: €1,200 per year for up to 100 users (100 GB included), €2,000 per year for up to 200 users (200 GB included), plus a one-time set-up fee of €750. Both options run in an ISO 27001 certified data centre in Frankfurt am Main, with SSL encryption, a 7-day backup and GDPR-compliant. As a third option you can run projectfacts in your own infrastructure or in a data centre of your choice, abroad as well: there are then no recurring hosting costs on our side, just a one-time set-up fee of €1,000. On request we take care of the installation for an annual flat fee.
Can I run projectfacts on my own server?
Yes. Alongside basic and standard hosting there is own hosting: projectfacts then runs in your own infrastructure or in a data centre of your choice, and the data stays entirely with you. There are no recurring hosting costs on our side, just a one-time set-up fee of €1,000. Updates and patches are included; operation, backup and server maintenance are yours, and admin support is billed at €175 per hour. If you would rather not run it yourself, we take that on for an annual flat fee; we agree the amount for your installation. The licence price and the support package are unchanged.
How long does the contract run and how do I cancel?
The price of €29 per user per month applies to a term of one year. Other prices apply for different terms. The notice period is 3 months. The same annual term applies to hosting, plus the one-time set-up fee.
Does the trial cost anything and does it end automatically?
The trial is free and normally runs for 14 days. There are no automatic follow-up costs and no obligation to order afterwards. If you need more time, we extend it on request. Before the trial a consultant sets the system up along your requirements, so you do not start in an empty demo. Every step is described on the free trial page.
Why does projectfacts cost €29 when pure project management tools are cheaper?
Because the €29 covers more than project management. Quotations, orders, invoices, CRM, ticket system, time recording and HR are included in the same price and work on the same data. A pure project management tool is cheaper per user but only covers part of that. The fair comparison is therefore not licence against licence but the whole toolset against one system: anyone licensing project management, time recording, invoicing and a ticket system separately pays for four licences and maintains four data sets.
What extra costs arise as the team grows?
€29 per month for each additional user. Hosting comes in tiers: basic hosting at €120 per year for up to 10 users and €180 per year for up to 20 users, standard hosting at €1,200 per year for up to 100 users and €2,000 per year for up to 200 users. The only noticeable step is the move from basic to standard hosting above 20 users. The support package is unaffected by growth; it costs €0, €990 or €3,500 a year regardless of the number of users.
Can I have the prices in Swiss francs?
