Invoices and payment part
In Switzerland an invoice carries more than an amount: the payment part, the number format and the rounding all have to be right.
Swiss QR Code
On request, a payment code is generated automatically with every invoice, as a GiroCode for the euro area and as a Swiss QR Code for Switzerland, the payment part your customers know from the QR-bill. Your customers scan the invoice, the transfer details fill in by themselves and only need to be approved. Our consultants support you with the setup.
Rounding to 5 Rappen
For document creation you define a smallest currency unit. For Switzerland this sets the rounding to 5 Rappen, without anyone recalculating by hand at the end.
Swiss number format
Floating point numbers respect the Swiss number format, so amounts appear on the document the way your customers expect them.
Foreign currency
You show amounts in foreign currency, and costs are converted. Francs and euros therefore sit side by side without separate systems.
Exporting into the EU: one quote, several markets
Hardly any Swiss company sells only within Switzerland. The route into the EU runs through quotes in a foreign currency and a foreign language, and Switzerland itself is multilingual to begin with.
Price lists carry currency and language
Every price list carries a currency and a language. You create as many as you serve markets: Switzerland in francs in German, Germany in euros in German, France in euros in French, Great Britain in pounds in English.
Switch instead of rewrite
In a quote you simply change the price list. Switch from Switzerland/German to England/Pound and the entire document is immediately in English and with prices in pounds. No second quote is created, and nobody converts by hand. This applies to all languages and all configured currencies.
The tax case travels with it
When you supply across the border, the tax does not apply depending on the case. You assign that reason its own contra account, and the corresponding note appears automatically on the document, in German, English or French.
VAT and bookkeeping
The second obstacle sits behind the invoice: in the tax rates and on the way to bookkeeping.
Tax rates without a fixed limit
You record the tax rate on the article. How many different rates you create is not restricted by a fixed number. For Switzerland you therefore keep the standard rate, the reduced rate and the special rate for accommodation side by side, since 2024 that is 8.1 per cent, 2.6 per cent and 3.8 per cent. Non-EU sales kept separate
If you invoice from Germany to Switzerland, German VAT does not apply. You assign this case its own contra account, separate from services to other EU countries, and the matching note appears automatically on the invoice.
Export to your bookkeeping
Alongside the DATEV interface there is a manual list export. You set the export columns, date format, file name and character encoding yourself. This lets you tailor the export to the program your Swiss accounting department uses.
Financial year
If your financial year does not start in January, you store the start of the year centrally for the booking export.
Staff
Vacation under your own rules
You set the vacation year and the point of expiry per vacation rule and activate it per employee. More on this in vacation management.
Public holidays per canton
You maintain public holiday calendars separately for national and regional days. That lets you reflect the fact that public holidays in Switzerland are governed at cantonal level and that a site in Zurich needs a different calendar from one in Lucerne.
Payroll stays with your fiduciary
projectfacts does not run payroll and is not Swissdec-certified. Nor does it need to be: payroll stays where it is today, with your fiduciary or in your payroll software. projectfacts keeps the working hours, absences and vacation from which the payroll is produced.
Operation and prices
The most common question from Switzerland is not about a feature but about the server location. You decide it yourself.
The data centre of your choice
projectfacts can be run on premises, and not only on a server in your own building but in the data centre you choose. If your data must not leave Switzerland, you pick a Swiss data centre and projectfacts runs there. You keep sovereignty over your data and still stay with the same system.
Support for an annual flat fee
On premises does not mean you are left alone with the server. We take care of the installation for an annual flat fee, regardless of the data centre it sits in. What the fee covers in your case is something we clarify in conversation.
Or hosted by us
If there is no requirement about the server location, our hosting is the simplest route: hosted in an ISO 27001-certified data centre in Frankfurt am Main, with nothing for you to look after. Both routes are proven.
Prices in francs
Our prices are quoted in euros. For Swiss customers we quote them in francs on request, converted at the current rate. So you compare in the currency you work in anyway.
A short trip to Lake Constance
Besides our head office in Darmstadt we run a branch with a training centre in Lindau on Lake Constance. From there it is about half an hour into eastern Switzerland, rather than a full day's travel across Germany. For training sessions and meetings on site, that is the short route.
Two examples from practice
A Swiss service provider with clients in the EU
A company near Basel looks after clients in Switzerland, Germany and France. The house currency is the franc. For the German clients a price list in euros in German is ready, for the French one in euros in French. Invoices to Swiss clients carry the Swiss QR Code and round to 5 Rappen, with amounts shown in the Swiss number format.
A German parent with a Swiss subsidiary
The subsidiary in Zurich enters and sees everything in francs, while head office in Germany looks at the same data in euros. Conversion uses the rate belonging to the date of the document, not today's. For bookkeeping in Switzerland you set the list export to the chart of accounts used there, while the German side continues to work via DATEV.
