Software for Austria: the short answer

Austria is close in language and different in employment law. Anyone looking for business software as a company in Vienna, Graz, Linz or Salzburg, or running a branch there from Germany, quickly runs into rules that a German system does not know: the posting of absences, the notional standard working time, the separate vacation year.

Working time records under Austrian rules

With version 6.8, projectfacts extended time management specifically for Austrian requirements. The running working time record comes about along the way: employees book their hours in the browser, via the app or at a terminal, and overtime, time off in lieu, vacation and sick leave all hang on the same data.

Posting absences

Absences, for example due to a doctor's appointment, are posted under Austrian rules. In Austria the posting of travel times and absences follows the notional standard working time, and that is exactly how it can be mapped in projectfacts. The details are in the article on special working hours.

Special working hours

Special forms of working time are handled separately, for example driving times of driver and co-driver. You create your own categories for attendance, vacation or sick leave and decide how they affect the overtime and vacation accounts. Flexitime, part-time and trust-based working time are mapped as separate working time models, together with the break and premium rules your collective agreement lays down.

Overtime and time off in lieu

A traffic light system shows the state of your employees' overtime accounts, which also carry the drawdown as time off in lieu. The basics of time management are on the working time recording page.

Vacation with its own vacation year

Austrian holiday entitlement is not necessarily tied to the calendar year. That is exactly where systems fail if they assume a fixed year.

Set the vacation year freely

You define the period of a vacation year individually. It does not have to follow the calendar year, but can follow a different period.

Expiry and several models

You determine yourself when unused vacation expires. Vacation rules are activated per employee, so Austrian and German models run side by side within one company. More on this in vacation management.

Leaving and public holidays

Public holiday calendars are maintained separately for national and regional days, so locations can be mapped individually.

Invoices and bookkeeping

As an invoicing program for Austria, projectfacts writes quotes, order confirmations and invoices from the same data the projects and hours come from.

Services to other EU countries

You record the tax rate on the article, for Austria the standard rate of 20 per cent and the reduced rates of 13 and 10 per cent. If you invoice from Germany to Austria, you assign this case its own contra account for services to other EU countries subject to a recapitulative statement. The matching note on the reversal of tax liability appears automatically on the invoice, in German, English or French as you prefer. More on this under invoicing.

Export to your bookkeeping

Alongside the DATEV interface there is a freely configurable list export. You set the export columns, date format, file name and character encoding yourself, so the export can be adapted to BMD, RZL or another program your Austrian accounting department uses. Price lists per market

Every price list carries a currency and a language. If you serve customers outside the euro area or in another language from Austria, you simply change the price list in the quote: the entire document is then in the other language and with the prices of the other currency. How quotes are created is shown under quotation preparation.

Handover to payroll and your tax adviser

In Austria, bookkeeping and payroll usually run on BMD, less often on RZL. projectfacts does not replace those systems; it supplies them and, in return, takes from them what it needs.

Both directions, automatically

BMD connections have been built for customers and are running in production. Out of BMD come customer data with legal form and VAT identification number, HR data such as holiday entitlement, working time model and cost unit, and costs that are posted straight onto the right project through the cost centre. Back the other way go invoice data and attendance data. Everything else is on the BMD interface page.

Times for payroll

Holiday and sick leave as well as office, home office and external work are provided by projectfacts as CSV, with start and end, date and personnel number. Payroll then calculates on the same times your employees book anyway.

Without a file upload

The exchange runs as a regular overnight job. Nobody has to export a file at the end of the month and upload it to a portal. The connection is set up for your BMD environment as part of a project, because chart of accounts and number ranges look different in every company.

A German company with a branch in Vienna

The Vienna colleagues need their own vacation year, their own public holidays and the posting of absences under Austrian rules. The German colleagues keep their rules. Both run through vacation rules activated per employee, in one system and one set of reports.

An Austrian company with clients across the region

Invoices to Germany run as services to another EU country subject to a recapitulative statement, on their own revenue account; invoices to Switzerland run as a non-EU case on another. The system puts the matching note on the reversal of tax liability on the document itself, in the recipient's language.
