In Austria, BMD is the standard for accounting and payroll. So that projectfacts and BMD do not run side by side, we connect the two systems through an automated data exchange: customer data, HR data and costs come out of BMD, while invoice data and attendance times go back to payroll.
Connections of this kind have been built for customers and are running in production. The exchange uses CSV files overnight, on schedule and without anyone lifting a finger. Nobody has to export a file, open it or upload it to a portal.

From BMD into projectfacts
Three data flows run from BMD into projectfacts. All three are read in overnight, so projectfacts always holds the state of your accounting.
Costs on the right projects
Costs from BMD are matched to the right project through the cost centre and posted there as entries. If a cost centre is not yet known in projectfacts, the system reports it and assigns the costs later, as soon as the cost centre is linked to a project. Nothing is left lying around. What comes of it is visible in project controlling.
Customer data from accounting
Customer data is taken over with company name, legal form and VAT identification number, matched through the customer number. Fields that come from BMD are updated; fields you maintain only in projectfacts are left untouched. That keeps your CRM clean without accounting overwriting it.
HR data per employee
Holiday entitlement, working time model and cost unit come from BMD through the personnel number. On every run the system checks whether anything has changed and either creates a new HR record or adjusts the values. The master data in personnel administration is therefore always the state of payroll.
From projectfacts into BMD
In the other direction, projectfacts supplies exactly the data BMD needs for payroll and accounting.
Attendance data for payroll
projectfacts provides attendance data as CSV: holiday and sick leave as well as office, home office and external work, each with start and end, plus date and personnel number. Payroll then works on the same times your employees book anyway in working time recording.
Invoice data for accounting
The invoice data from invoicing is provided by projectfacts as a file that is read into BMD. Figures are not retyped and not maintained twice.
Why a file is entirely enough
BMD reads the structure of an import file from its header row and works out for itself which data sits in which column. That is exactly what the freely configurable list export in projectfacts plays into: you set export columns, date format, file name and character encoding so that the file looks the way your BMD environment expects it. The BMD connection is not a switch in the configuration; it is set up for your environment as part of a project. There is a reason for that: chart of accounts, number ranges and cost centre logic differ in every company, and the accountancy firm has its own requirements.
Agree the fields
We clarify which data should run in which direction and which key is used to match it, as a rule the customer number, the personnel number and the cost centre.
Set up the run
The exchange is set up as a regular overnight run and tested once against your BMD environment, so the file is read in without any rework.
RZL and DATEV too
If your accountancy firm does not work with BMD but with RZL or DATEV Austria, the route is the same.
