What is e-invoicing software?

E-invoicing software is a program that lets companies create, send, receive and process electronic invoices in a structured, machine-readable format. Unlike a PDF or paper invoice, an e-invoice exists as a structured data set in line with the EU standard EN 16931, in Germany mainly in the ZUGFeRD and XRechnung formats.

The e-invoicing obligation at a glance

Since 1 January 2025, domestic B2B companies in Germany must be able to receive and process e-invoices. Transition periods apply to issuing them: with the recipient's consent, other invoices (paper, PDF) are still permitted until the end of 2026, and until the end of 2027 where the prior-year turnover is below 800,000 euros. From 2028, the e-invoicing obligation applies to all domestic B2B transactions.

What is the difference between ZUGFeRD and XRechnung?
XRechnung is a pure XML data model, used mainly for exchanges with public authorities. ZUGFeRD is a hybrid format that sends a readable PDF alongside the XML file. projectfacts supports both formats.
Can I send e-invoices to public authorities?
Yes. For invoices to public administration (B2G), you store the Leitweg-ID on the recipient; projectfacts outputs it in the designated field (Buyer Reference) of the e-invoice, so the invoice is delivered correctly within the German federal administration.
Do I need a separate software just for e-invoices?

Can I hand over invoice data to DATEV?
